Your data,your PC

Your books live on your computer, in a database of their own. Here is how they are kept safe, and the little that ever leaves.

The backups screen: daily schedule, a second folder for copies, and the list of backups with restore

On your computer, not ours

The desktop edition keeps your company’s data in a PostgreSQL database that OSuite installs and runs on your own PC. Invoices, ledgers, stock and customers never pass through our servers. Daily work needs no internet connection at all.

Backups you do not have to remember

OSuite takes a backup every day on its own, keeps the most recent ones, and can copy each one to a second folder you choose: another drive, a USB disk, or a OneDrive or Google Drive folder. You can also take a backup at any moment and download it.

A restore never touches your live data until the backup has been checked. It is restored into a separate database first, checked for the right version and an intact edit history, and only then swapped in. Your current data is backed up just before, so a restore can be undone.

An edit history that cannot be quietly rewritten

Every change is recorded: who made it, when, and what changed. Each entry is chained to the one before it with a SHA-256 hash, so altering or deleting an old entry, even directly in the database, breaks the chain and shows up when the history is checked.

Posted invoices, bills and journals cannot be edited; they are corrected with a cancellation or a note, which is itself recorded. A closed financial year is locked against new entries.

People and passwords

Everyone has their own login, so every change carries a name. Passwords are stored only as salted scrypt hashes. Administrators manage users; a licence covers a set number of them.

What leaves your PC

Only what the licence needs. When you start the trial, OSuite sends the name, email, phone number and company you type in. Every 14 days it checks in with the licence: the licence token, a fingerprint of the computer, the computer’s name, the OSuite version and the operating system. Nothing from your books is ever sent.

If a check-in cannot be made, you have 7 more days. After that OSuite turns read-only until it can check in again: you can still open every record, print and take backups. Your data is never locked away from you.

In the cloud

If you choose cloud hosting, we run OSuite for you and take care of backups, and it opens in a browser from anywhere. The software and the edit history are the same, and your data remains yours to download at any time.
